OPTION CLAUSE: The Purchaser reserves the right to increase or decrease the quantity to be ordered up to 25 percent of bid quantity at the time of placement of contract. The purchaser also reserves the right to increase the ordered quantity up to 25% of the contracted quantity during the currency of the contract at the contracted rates. The delivery period of quantity shall commence from the last date of original delivery order and in cases where option clause is exercised during the extended delivery period the additional time shall commence from the last date of extended delivery period. The additional delivery time shall be (Increased quantity ÷ Original quantity) × Original delivery period (in days), subject to minimum of 30 days. If the original delivery period is less than 30 days, the additional time equals the original delivery period. The Purchaser may extend this calculated delivery duration up to the original delivery period while exercising the option clause. Bidders must comply with these terms.

Availability of Service Centres: Bidder/OEM must have a Functional Service Centre in the State of each Consignee's Location in case of carry-in warranty. (Not applicable in case of goods having on-site warranty). If service center is not already there at the time of bidding, successful bidder / OEM shall have to establish one within 30 days of award of contract. Payment shall be released only after submission of documentary evidence of having Functional Service Centre.

Buyer Added text based ATC clauses Terms & Conditions Eligibility Criteria (1) The bidder shall be registered on GeM and comply with all applicable GeM requirements. (2) The bidder shall be the OEM, Authorized Dealer or Authorized Service Provider of the relevant OEM/brand. Valid OEM authorization shall be uploaded with the Technical Bid. (3) The bidder shall have relevant experience during the last 5 years of experience in supplying the item is required . (4) Documentary proof such as Work Orders/Completion Certificates/Experience Certificates shall be uploa ded with the Technical Bid. (5) The bidder shall possess valid GST Registration, PAN and GeM-linked bank account. (6) The bidder shall have a service centre/support centre in Kerala with adequate technical manpower and infrastructure for providing prompt on-site service. Documentary proof of the service centre/support facilit y in Kerala shall be submitted along with the Technical Bid. (7) The bidder shall comply with Departmental safety, security, site-access and statutory requirements. (8) The bidder shall quote for the complete solution. Partial quotations shall not be considered. Service Support / SLA (1) The successful bidder shall provide service support through its service centre/support facility in Kerala throughout the warranty/AMC/service period. (2) Service complaints may be reported through telephone or e-mail. (3) All complaints shall be attended within 24 hours of reporting. (4) The bidder shall provide preventive and corrective maintenance as specified in the GeM Service Bid. (5) Service records shall be maintained by the bidder. Technical Bid Requirements The Technical Bid shall include: Company/Firm profile and credentials. (1) GeM registration details. (2) GST and PAN details. (3) OEM/Authorized Dealer/Authorized Service Provider certificate. (4) Details of technically qualified personnel. (5) Relevant experience during the last 5 years. (6) Work Orders/Completion Certificates. (7) Proof of service centre/support centre in Kerala. (8) Technical methodology for restoration. (9) Warranty and after-sales support details. (10) Proposed SLA and preventive maintenance arrangements. (11) Confirmation of compliance with the approved technical specifications. Financial Bid Requirements (1) The bidder shall quote for the complete scope of work. (2) The Financial Bid shall include the cost of transportation (3) All applicable taxes and duties shall be clearly indicated. (4) Billing shall be made in accordance with applicable GST Rules. Warranty (1) A minimum 12 months warranty shall be provided from the date of successful commissioning and acce ptance, unless a higher period is specified in the GeM bid. (2) Defects attributable to workmanship or supplied/repaired components during the warranty period shall be rectified/replaced without additional cost. Payment Terms (1) No advance payment shall be made. (2) Payment shall be made only after item reached . (3) Payment shall be subject to satisfactory adherence to the SLA and GeM contract conditions. General Conditions (1) The work shall comply with GeM GTC/STC, Kerala Store Purchase Rules, applicable Government Orders, relevant technical standards, safety norms and statutory requirements. ( 2) The Department reserves the right to accept/reject bids and take further action in accordance with app licable GeM/Government rules. (3) The bidder shall ensure complete functionality of the system within the quoted price.
